Tips for Matchmakers

    1. Walk-ins are encouraged! Please bring a check or credit card. Checks should be made out to VTSBDC/VTC in the amount of $35. Receipts will be provided for those people who require them.

    2. Registration begins at 7:00 a.m. followed by the opportunity to sign up for matchmaking appointments with the exhibitors from 7:30 – 8:00 a.m. Welcoming remarks begin at 8:00 a.m., and matchmaking will commence at 8:20 a.m.

    3. The format for the business matchmaking face to face meetings includes a 10 minute appointment with whomever you have signed up to meet. Maximize your time with each buyer. Here is a suggested way to break down the 10 minute meeting.

    • 2 minutes – introduction and brief company overview
    • 2 minutes – description of your products or services
    • 2 minutes – description of your past performance and successes
    • 4 minutes – interaction with the prime/agency to learn more about opportunities, key contact people and next steps.

    The companies that prepare in advance get the most out of their meetings:

    • Prior to the day of the Matchmaker, visit the prime/agency website, peruse their contracting opportunities, procurement needs and RFPs to become familiar with their buying needs.
    • Bring your business cards, company brochures, and other marketing materials

    4. A bell will ring at the end of each 10 minute session. Please be considerate of the companies that have reserved specific times for meetings.

    5. The list of names of the primes and agencies that plan to attend is always subject to change. Circumstances beyond the control of the event organizers sometimes results in the absence of one or two prime contractors or agencies on the day of the event. On the other hand, we often have last minute additions as well. Every step will be taken to keep all attendees aware of changes.

    6. Your admission covers a luncheon buffet, with keynote speakers.

    7. The Hotel and Conference Center are fully accessible. If you have any accessibility concerns or other special needs, please contact us in advance. Please contact Heather Gonyaw at hgonyaw@vtsbdc.org. Please make such requests at least several days in advance of the event, as there is a certain lead time involved with the hotel.

    8. Plan to stay the entire day to maximize your benefit of the training and matchmaking experience.
